AE08 - The Event of Next Year Can you help ?
Despite the best efforts of the weather this year, AE07 was a huge success, thanks to those that organised and those that turned up. We're looking to build on this years successful weekend with a view to planning something along similar lines next year.
What we're looking for is for somebody to step up and help out with or indeed organise next years AE. What we're looking for :
A Central Base for the weekend with camping and facilities, showers, toilets etc etc.
Somewhere to cook BBQ or somewhere to get food, including breakfast in the morning.
A rideout route that shouldn’t be to challenging that caters for all levels of rider in the region of 120 or so miles with a lunchstop and fuel stop / snack / stops.
Somewhere to get drink from or someway of doing a beer run if theres no bar on site.
A Central Hub area for Socialising, having a drink or two, a chat about the day you know the kind of thing, think about what was provided this year.Try to take account of where previous years have been and it would be good I think to not re-visit if possible a previously visited area. This also means that the people who organised / helped out with this years get a break from organising.
This is where Previous AR / AE's have been held
2007 - Lake District
2006 - Shewsbury
2005 - Cotswolds
2004 - Cat n fiddle (Buxton)
2003 - Boxhill, south england
2002 - Ponderosa
We've had one proposal from Viper already, which I'm sure some of you already might be aware of as this was dicussed at this years event.
We'll leave this thread open till End of October and then look at whats been suggested if theres only one option then that’s the option that'll be picked, if theres more than one we'll create a poll and then everybody can vote for the Venue that they like the best*
Inevitably this also may mean that for some people a fair old amount of travel is going to be required. But after the effort made this year to get to the Lakes in the rain the likes of Grinch made then I don’t really see this as being that much of an issue if you're determined enough with enough notice anything is achievable.
Remember where looking for a Somebody with extensive local knowledge of their proposed area to propose a Package, Location, Venue, Facilities, Rideout Route. Don’t just say "I'd think we should go to South Wales" as then that means that we've then go to approach those with local knowledge for help, if they can't help out it relies on us Mods / Admis then to reccie and look for places to stay in places we're not familiar with. Which means a lot of extra headaches. Its going to be much easier and more straight forward if we can plump for an area where somebody is already willing and commited to help out with the organising.
Once the Venue is sorted then we'll start looking at dates, the general plan would be to stay away from School Holidays, Silverstone F1 Weekend, Donnington Moto GP Weekend also BSB / WSB events that might clash and reduce numbers. Inevitably this may mean that some people can't make the weekend, but I'm confident that if the date is set far enough in advance then most people should be able to sort out holiday dates etc etc.
You guys make the forum, its your weekend, the more we all put into it, the more we all get from it. So if you can help or have some ideas or know of a venue that would suit and are willing to step up, post up your ideas, don’t go to much effort just a rough outline of what you're proposing and a rough idea of what costs are involved ( if any )
*Caveat The final decision might not be the Venue that has the most votes, if for logistical reasons another venue proves to be easier to organise etc etc.
Please if possible can we keep this thread free of chit chat as I don’t want to have to wade through 30 odd pages of chat to find the Gems buried within.
Over to you
Cheers
Fizz

My suggestion - North East/Northumberland
Location - absolutely beautiful part of England that nobody know about- very different to anywhere else that the AR have been to. Easy to get to on M1 - I drive from Kent the whole time. And perhaps about time a AR that the ecosse posse can get to easily.
Roads - empty, relatively camera free and in the best roads in Britain book referred to every road there being worthy of being in! We haven't suffered from all the bonkers leglislation you guys have down there. I'd be willing to draw up a few days of routes :) Theres so many interesting places enroute, castles, Islands, more castles...
Accomodation - loads of cheap camping and B&Bs, would be easy to book a large field. (i could expand on this if necessary)
Bearing in mind the north meets south will be down south next year (i presume as it's their turn), I think a Northern AR would suit :) EDIT: - ok that's wrong! i just seem to recall that people fancied a reverse. I may have imagined it :) hehe
Right then...
As Fizz has said i have suggested the following.
A weekend camping on our farm in somerset. This is my idea........
We have a 400 acre farm in Bruton / Wincaton area in Somerset. We also have a Farm shop etc.
We would be able to offer FREE camping for all attending. We would also be prepared to put up toilets and showers and a marquee, in which we would be able to offer hot food and drinks on site, such as a Hog Roast, Tea, Coffee, Burgers, Hot Dogs, Jacket spuds and for breakfast Sausage, egg, bacon, toast etc.
The plan is tio try and keep everybody together "on site" as much as possible. AR07 was fantastic but i reckon if we had hot food on site we could have stayed on site and got to know each other more.
Fizz and myself have spoken about routes for rideouts and we have some fantastic roads around here that i am sure would suit all abilities.
I thought we could all Pre Book and charge a fixed fee for the weekend to include all food. I reckon £30 (ish) per person all in should cover it. For this we could provide Friday Evening Meal, Saturday Brekkie, Saturday Night meal and Sunday Morning Brekkie so thats 4 meals and camping all for £30 ish each.
What are your thoughts ??????????

North meets South is a chance for us Southerners to ride the wonderful roads of the North. It don't happen down here.....

Can you give a more exact location for the farm, Viper? I think I'd be one of the more remote attendees, but it's still entirely doable in a long day.
I think most of us would prefer the most central location possible but this seems like a great proposal to me. If anyone's thinking "that's too far for a rideout", well, there's your answer, make it a long weekend, get down into Cornwall and Devon... This isn't a big country :)
I have no alternatives to suggest, Scotland's just out of the question for the AR really (but more on this later)

Vipers farm is based near Bruton in Somerset, If you come off the A303 at Wincanton its not far from there...

Sorry about the long link
If we do go down vipers route (ooer missus , wahey) I could offer accomodation to a few of the scottish riders overnight at my place in warrington,to break the journey a bit. I know its a while off but the offers there.
We could go here for a ride. Just a few miles away !!!

Well if there are people traveling down the long distance maybe they could stay somewhere the night before if someone is will to assist, I would but my place ain't really on the way down from Scotland.
I did PM Filipe M. and offer him the same, so maybe we can make it a international event.

The bunkrooms on the AR07 site would seem to make some sense as a stop-off point for anyone from Scotland, not far from the M6 and cheap and clean and a know quantity.
Just add a Little Chef Olympic Breakfast on the way to the M6 in the morning :)

I have a route (approx 120 miles, with lunch and fuel stops)
I have a campsite (Located in Hay on Wye)
Its in South Wales

Indeed, I will but as mods we didnt want to limit this to one location. Hence why we've thrown it open so that we can get people to propose locations as a few already have done.
Once we've given everybody ample time to read whats required, and have a think maybe do a reccie of what they are thinking about and then propose it here.
Then we'll do a poll and then you guys can vote.
We thought it was a bit imposing if we just said its going to be here, everybody likes to have input into this kind of thing and I think it would take away from the spirit of the forum if we removed the chance for people to have input into the weekend if you see what I mean.
The farm sounds like a great idea, but I've just mapped my route and it's probably 3 days each-way (two-up y'see). Don't think I could manage that due to arsey rules at work about holidays over two separate weeks. Same reason I couldn't make it this year. :(
Anyway, I'd need to start saving the pennies right now. Say we did about 200 miles of rideout plus 700 miles each way from here, that is TEN tanks of fuel!!!!! :smt103

Has Stretchie been hacking into your account again Melody?
Seriously though, I've got a North Durham/Northumberland rideout route of 118 miles, a camping field at a pub which already holds biker events (and no problem with neighbours and noise - they run a music festival too), easy to get to from major routes around the country, with some cracking scenery, towns nearby for a beer run... and it's only about 1/4 mile from my Mum and Dad's hous!
It's another option... I'd be very happy with Viper's suggestion but the suggestion of a Northumberland event set me wondering how far the route in my head was - conveniently almost exactly 120 miles!

I think thats a great idea ( Id did go to an AR once...). I dont think the roads would be as good as those in south/mid wales (but happy to be corrected) and anyway its not all about the roads as NS is, but the overall package sounds unbeatable. Also I think its great to have a flat fee and thats all your going to spend all weekend (except beer and incidentals). Great idea! :D

However. How about a seaside venue like Scarborough or Great Yarmouth or somewhere. We could make it a themed event by inviting this lot http://www.vespaclubofbritain.co.uk/ and have mock fights on the prom :)

Anymore for anymore, otherwise I'll start the Location Vote Poll early...
I would have thought location could wait a tad longer before putting to the vote personally. There's no rush is there? I have only just seen this thread. I'm sure there are plenty of others that will not yet have seen it either. One of them might just have a good idea worth considering as well.
The date is the thing that most people want good advance notice of. How about getting that sorted first?
Same here for the date, Ive told the wife we will be booking our hols around the dates for the AR so the sooner we sort those out the better I think

Not really fussed either way, but the way I thought about it was that once the location was sorted then the date would be dependant on the people in the local area that was choosen who are doing the organising if that makes sense.
Theres no point in everybody picking weekends that the local organising team cant do or are not available for IMHO.
I was also hoping to give a it bit longer date wise as that gives more time for next years race calenders etc to be published, it'd be wise IMHO to stay away from clashes with other biking events such as Donnington Moto Gp, Brands WSB, BSB rounds etc etc.
Edit Provisional Moto GP Calender for Next year is
June 1 Italy Mugello
June 8 Catalunya Montmelo
June 22 Great Britain Donington Park
June 28 ** Netherlands Assen
July 13 Germany Sachsenring
July 20 United States * Laguna Seca
August 17 Czech Republic Brno
August 31 San Marino Misano
Personally that means I think we oughta discount the weekend of the 22nd June
Or do we simply say for simplicity that its the same weekend of the year that AE07 was, which looking at next years calender is 27th, 28th & 29th June 2008

I think this is a great idea.
Why not make the AR's the same date every year. At least we will all know when it is every year so we can all book time off way in advance. The location can be decided as and when but as long as we know when it is most shouldnt have a problem.
Sounds like a plan to me. I have to book time off for it anyway, so why not?

July 20 United States * Laguna Seca
August 17 Czech Republic Brno
August 31 San Marino Misano
Personally that means I think we oughta discount the weekend of the 22nd June
Or do we simply say for simplicity that its the same weekend of the year that AE07 was, which looking at next years calender is 27th, 28th & 29th June 2008
June 15th looks clear :)
However, I think that while Donningto may be one to avoid (due to people wanting to go there) we should not discount a weekend just because something is on the telly.
Thats what video recorders are for.
Cant see why anyone would want to sit in front of the telly watching people riding motorbikes when they can be out on their OWN motorbike.

Surely it makes sense to pick a date towards, near or just after most peoples pay day...
Middle of the month might not work so well due to cash flow reasons. Hence why I suggested for simplicity that we pick the same weekend that this years was...
Why not make it the same weekend every year, e.g last weekend in june ?

OK I like this idea, its one less thing to sort out...
Still gotta choose the dates though ;)
But that doesnt fit in with peoples paydays type thing. A majority of people get paid on the last working day of the month, or around the 26th of the month. So make it the 1st weekend in July every year. One of them will fall on my birthday ;)
I feel like a poll is coming on ;) although that might work actually
august?
weather should be hot

What about these dates for next year then...
Weekend of 30th, 31st May, 1st June
Weekend of 27th, 28th, 29th June
Weekend of 25th, 26th, 27th July
Weekend of 1st, 2nd, 3rd July
Weekend of 1st, 2nd, 3rd August
Weekend of 29th, 30th, 31st August, ( Normally Bank Holiday weekend I think )
Any other weekends ? Personally I think end of June early July as that avoids school holidays and all the extra headaches and traffic that they bring... Also remember that the weather can be cr*ppy at the end of May still..
The end of June early July seems like a plan, plus dont forget the summer weve had this year means nothings gauranteed anyway.

I reckon early august is a good one... We should stay away from the bank holidays though, too many people will be away/have family commitments etc. Also, the roads will tend to be at their busiest, and if the final location's anything like it us up here, the traffic cops tend to be out in force too. And purely coincidentally I'll be at the Reading festival
Not too sure about the payday argument, it does make sense when people have short notice but when you know months in advance it's not so difficult to budget...

School holidays and roads full of caravans, not sure about august, at least with early summer the holidays arent in full swing, however I will go with the flow, just looking forward to it already.
note to self : get a life stewie ;)

I tweaked the list a little, how about these as options ? I think that end of May weekend might also end up being a bank holiday one to...
Weekend of 30th, 31st May, 1st June
Weekend of 27th, 28th, 29th June
Weekend of 4th, 5th, 6th July
Weekend of 25th, 26th, 27th July
Weekend of 1st, 2nd, 3rd August
Weekend of 29th, 30th, 31st August, ( Normally Bank Holiday weekend I think )
with this much notice, i dont think it matters about when you get paid.
i recon late july early august (its my birthday on the 13th)
IMHO I reckon that to save any messing around and going round the houses and all the crap that the mods have to go through that THEY (the mods) should set the date. Its the SV650.org AR and should be in part controlled by the mods. They choose a date that either is the same each year or varies dependant on location availability but the location is polled.
Thats 1 less headache and 1 less argument.

Actually I would say do it the other way.
Decide on the venue, then look at available dates.
Mainly because, if it goes the way I think it is, you, Viper, may actually get to set the date :)

Which is what I said I wanted to do in the first place...
Then lets either set a date or set a venue and we can then make plans around it, you know hols etc. I think from what I have seen most people want to got to Vipers BUT we need to make a decision one way or another sooner rather than later, IMHO.
as it looks as if its going to be at vipers, surley getting him to pick the dates when will be best

None of those dates are the Bank holiday dates next year. According to here (http://forums.sv650.org/newreply.php?do=newreply&p=1254744) the bank holidays are 26th May and 25th August.

Why decide sooner rather than later?
Why rush?
I would say that the deadline for date is somewhere mid-December so that people can book holiday as soon as possible from their 2008 holiday allowance.
6 months from then is plenty of time for anything to be organised.

Right I'm going to stick to the original plan. I'll get a poll up for location in the next few days and then we'll take it from there date wise.
I dont mean to upset anybody, but from previous experience, this kind of dicussion can and normally does go round and round in circles.
