Anyone been a sports club Tresurer before?

We had our annual AGM yesterday and I ended up being voted in as Treasurer - not entirely sure how that happened...

Anyone been in that position before and have any tips/advice? Apart from "don't spend all the money"...

Funny enough it was mentioned that a new bike was on the cards. The old treasuer passed his test and bought a bike in the last year. lol

get the cheque book a double signature deal to remove cash (takes away any hint of improprioty)

have a little blackbook so when anyone gives you money have them sign besidemoney given which shows every penny youve handled or not (a numbered book is best so pages cant go missing and date every page)

have a change kitty with a set ammount eg £150 in 1's 2's 5's .............. again if a penny is taken out its signed for ( kitty is counted and verifird every week or meeting)
bank any cash asap keep receipt and log

anything bought or sevice used has a reicept even if its £20 for john for the travel to pick up beer (remember a recicept can be any peice of paper with a statement of use and signature on it)

stipulate quite clearly that your job is to keep the books not chase people for cash but say you will for every meeting hand the chairman a money owed list and its up to him to get the people to come see you (you dont want to become that guy who always hasttles them for "a few quid")

check all your figurs twice and every few months have someone else from the club look over the books (brow beat someone if nessasery)

at the first sign of problem see the chairman (stops thing spirialing and a problem shared is a proplem halfed)

have two copies of the books one you solely keep the other is layed on the table at the meeting for anyone to look at (no one will but it shows openness)

one book should always just have your handwriting in (the one you keep) the one that goes to meeting should be typed (means no one can alter it while your not looking)

you may look at this and think thats a bit ott but trust me do it from the start as accusation fly freely about club monies and you dont want any heading your way, its so nice when you just point to the book in the corner and say there you go crack on

if possible take dicky tickers advice and hand it off as its the worst and most thankless job ever, that takes up shedloads of time but only brings hastle insinuation and misery

Depending on the size of the club it may be entitled to partial VAT relief, operating something called De Minimus (not sure of the spelling). You need to be aware of what you can, and can't, offset against VAT relief, and what to charge the members ex-VAT. If you do have De Minimus you can't carry over more than x amount into the next financial year or it screws with your VAt relief.

Also, look into registering as a sporting club with the local council. It will knock off 25% off the Council Tax.

If the club employs staff, apart from God help you, you need to get clued up on tax, national insurance, stakeholder pensions. Get a copy of SAGE to run the wage accounting.

D Pres has pretty much covered the two sig side of it, it also covers for when you are on hols, and how to operate open book accounting. If the club is big enough, and can afford it, get the year end accounts signed off by auditors.
